Executive Assistant To Chief Executive Officer

POSITION SUMMARY

We are seeking an organized, detail-oriented Executive Assistant to partner with our CEO and executive team. The ideal candidate has strong calendaring and communication skills who can positively represent the organization internally and externally while keeping our executive team organized and focused on priorities. This individual will keep their cool under pressure while juggling multiple priorities.

RESPONSIBILITIES

  • Manage our leaders’ calendars to ensure critical meetings are scheduled timely with appropriate sequencing while allowing time for innovation and travel
  • Coordinate in-person meetings, ensuring all event needs are understood and met, including technology, travel, presentation proofing and visitor communication
  • Manage administrative activities for the CEO and executive team including document management, expense reporting and personnel requests
  • Navigate travel arrangements and bookings for the CEO and other members of the executive team, including booking flights and accommodations, and arranging travel logistics
  • Act as an adept gatekeeper; planning, coordinating and ensuring the CEO’s time is aligned with his priorities through demonstrated understanding of the business
  • Support interview scheduling for organization as needed
  • Work independently, perform special projects by coordinating required activities, develop forms/reports and interact with outside/inside sources to obtain required information
  • Exercise consistent discretion with confidential, sensitive information
  • Support purchasing needs, such as business cards, as needed
  • Participate in the planning of important team and company events
  • Support internal communications as needed

REQUIRED QUALIFICATIONS

  • Minimum of a High School Diploma with technical training/certification
  • At least 4 years’ experience supporting a Vice President and/or equivalent experience
  • Excellent computer proficiency – Google suite and Windows: Outlook, Word, Excel, PowerPoint
  • Excellent writing, verbal and interpersonal communication skills, including strong phone and email abilities
  • Flexible, responsive and a multi-tasking team player
  • High-energy and ability to work in a fast-paced startup environment

PREFERRED QUALIFICATIONS

  • BA or BS or comparable experience
  • Experience working in a virtual environment preferred
